Terms & Conditions
We’re a straight-talking bunch at Base Studios. But we do like to do things properly, efficiently and transparently. So, here’s our house rules for hire just so that we’re all on the same page.
Definitions
Across our terms and conditions the following expressions have the following meanings:
- “Base Studios”, “We” or “Us” - Dead Pixel Films Ltd trading as Base Studios whose registered office is at Unit 8b, Duke Avenue, Stanley Green Trading Estate, Cheadle Hulme, SK8 6RX - company registration number 10733610.
- “the Customer” or “You” - any person or firm or company dealing with Base Studios or any servant or employee of such a person, firm or company.
- “Studio” or “Space” shall refer to the facility and area that you will be hiring and responsible for during the agreed hire period.
- “Crew” refers to anyone and everyone visiting the studio on your behalf during the hire period. This includes your contractors, employees and clients.
- “Studio Manager” is your designated point of contact at Base Studios.
House rules
Our two rates offer two booking types. Each booking type dictates the area that can be used. Only the studio areas booked can be used throughout the duration of a shoot as agreed with Studio Manager. We ask for the space to always be left as you found it.
If you have booked a “Dry Hire”, you have access to use the entire space excluding the kitchen set, coloramas and kit. However, you’re more than welcome to help yourself to our props, prep kitchen area for staff lunches and our tea and coffee station. The floor is yours!
For any “Studio and Kitchen Hire”, you have access to everything and anything! This includes our set and prep kitchen, kitchen props, access to background and colorama library, sandbags, c-stands and much more! For any kit, additional crew, equipment or anything else, let us know and we would be more than happy to help arrange that for you. Each additional item will be chargeable with prices available on request.
Studio Hours
Monday to Friday 8am - 6pm. All clients must vacate the studio by 6pm. If it’s a one day shoot or the last day of your shoot, then you must make sure that absolutely everything is out of the studio by 6pm.
Overtime charges will apply after that.
Weekend bookings are available on request for prep, pre-lights or shoots.
Payment
All quoted rates are non-inclusive of VAT. A 20% VAT charge will be added to all invoices.
We require payment in full upon confirmation of the booking. And unpaid invoices will void a booking and late payments for additional costs incurred on the shoot will be applicable to 8% interest added per day after the due date.
Cancellation
If your shoot is cancelled please inform the Studio Manager as soon as possible. Shoots cancelled after confirmation will be charged 25% of the total hire fee. Shoots cancelled less than five working days before the hire period begins will be charged 50% of the total hire fee. If you cancel less than two working days before the hire period begins, you will be charged the full fee and the Customer agrees to pay this within 7 days. We reserve the right to move the booking to another day subject to availability.
Deliveries
Please consult the Studio Manager before arranging any deliveries. We cannot accept deliveries of any hazardous items or materials, e.g. gas canisters. We are happy to accept deliveries prior to the shoot as agreed with the Studio Manager and no earlier than two working days before the shoot begins. All deliveries must be clearly marked with your company and project name. These are stored at your own risk.
Storage
If you need to store equipment between shoots we offer storage in our workspace at a simple daily rate.
Props
If you are hiring props, equipment or kit from us, they will be in your studio ready for your arrival together with an inventory of the items. Once your shoot has finished simply wash, wrap up and leave the props in the studio where they were placed in the morning.
Collections
Once the shoot is complete, if required and as agreed with the Studio Manager, items can be stored ready for collection up to two days after the shoot. You will be required to pack and remove these yourself.
Studio access
The studio is accessed via the ground floor. We have side access directly into the studio for off loading larger deliveries. There are six free parking spaces at the studio which is located at the front door to the studios. Please confirm how many cars you expect to be on site.
Keep Clear
During your shoot please keep corridors and communal areas clear. Please ensure that any trip hazards are clearly covered.
Inventory & Cleaning
We expect the studios and equipment to be left in the same state they were found. We reserve the right to charge a fee if items are missing, damaged or require cleaning. For any props or kit that are damaged or misplaced, we reserve the right to charge a fee if the damage or loss impacts any upcoming production. This may include any additional fees for hire required externally.
Health & Safety
It is the responsibility of the Customer to brief all crew on the location of the toilet facilities, fire extinguishers, first aid kits and emergency exits (which are clearly marked with emergency lighting) prior to filming. Any spillages or dangerous breakages should be reported to the Studio Manager immediately.
Exclusions of Liability
We shall not be liable to the Customer for any loss, damage, expense, liability or for any consequential loss (including loss of profit) whatsoever or howsoever arising out of or in connection with any of the following:
- any damage to or loss of property by the Customer or the Customer’s crew, employees or any third party.
- any breakdown stoppage or failure of the facilities and equipment provided in the Studio or any other equipment supplied to the Customer by Base Studios.
- any death or injury occasioned to any Customer or crew of any Customer occasioned by the use of the Studio or any equipment unless such death or injury is directly attributable to the negligence of Base Studios.
- for any fines and/or legal costs incurred by Base Studios or the Customer for any activity connected with the hire of the Studio or equipment.
Insurances
We will require details of your Public Liability Insurance as well as Hire Insurance prior to every confirmed booking. Any damages caused by the Customer and its crew must be rectified and claimed via the Customer’s insurance provider. No booking can be made without the necessary insurances. If you’re unsure whether your insurance is valid for this booking, please contact our Studio Manager.
Applicable Law
These Conditions shall be read and construed in accordance with the Laws of England, Scotland, Wales and Northern Island.
Variation
These Terms and Conditions shall not be varied except by agreement in writing.
